Data Specialist

Department: Head Start/Early Head Start Status: Non-Exempt

Reports To: Head Start Director Schedule: Full-time


Position Statement:

This position is responsible for providing organizational and communication support to the Head Start/Early Head Start Program. Also, responsible for monitoring program data in Child Plus and Non-Federal Share/Match processes and documentation as well as help maintain program Record Keeping & Reporting. Must have good organizational skills, typing and computer experience, excellent telephone skills and expertise in working with people. An understanding of sound management principles and developmentally appropriate practices in child care operations is required.


Duties and Responsibilities:

  • Responsible for establishing and maintaining communication between management and center staff
  • Responsible for communicating with agency partners as it relates to establishing services, scheduling meetings, and securing venues
  • Responsible for coordinating special projects or events
  • Assist with development of training, workshop and conference materials
  • Responsible for developing and coordinating professional development schedule
  • Responsible for data entry and tracking annual professional development hours, for each employee, in Child Plus
  • Responsible for proofing and disseminating monthly program updates and reports
  • Provides technical assistance to center staff as it relates to recording and/or data entry of In-Kind hours/values
  • Responsible for monitoring of non-federal share/match data and process for program
  • Responsible for collecting and reviewing In-Kind data/documentation and retrieving reports in/from Child Plus to ensure In-Kind record keeping and reporting is accurate
  • Responsible for submitting In-Kind documentation including reports to Finance Department
  • Assist PFCE Coordinator with Policy Council functions by taking minutes, maintaining records and establishing communications with the members
  • Responsible for distributing and tracking Head Start & Early Head Start technological equipment (laptops, projectors, etc.)
  • Responsible for coordinating travel for management and center staff
  • Responsible for ensuring program memberships are renewed and/or up to date
  • Responsible for conducting inventory, ordering, and managing office supplies and materials
  • Assist management with monitoring and ensuring compliance and quality improvement, program wide
  • Perform other duties assigned by Head Start Program Director

Professional Responsibilities:

  1. Responsible for adhering to professional development plan including renewal of annual credentials (*which are required for continued employment in this position)
  2. Must be able to periodically attend out of office meetings and training sessions as needed
  3. Attend Head Start Leadership Team meetings and maintain documentation of meetings



KNOWLEDGE, SKILLS AND ABILITIES:

  • Basic computer skills and some experience with computer applications, (includes; Microsoft Office; Word, Excel and Power Point)
  • Knowledge and skill in the use of HSES is required
  • Must have access to a personal vehicle with insurance coverage (unless the agency provides a vehicle) and have a valid North Carolina State driver's license.
  • Competence in planning, organizing, scheduling, recordkeeping of program communications
  • Ability to build and collaborate with all staff and community partners

QUALIFICATIONS:

Minimum: High School Diploma or related experience. Two years of experience with human service agency. Good organization skills, excellent customer service skills, excellent customer service skills, computer literate, valid driver's license and reliable transportation and maintain records. Ability to type at least 75 words per minute and computer skills. Ability to express ideas orally and in writing. Ability to work with people from varying socio-economic backgrounds. Demonstrated facility in computerized data management systems or work processing systems as assigned. Demonstrated ability to perform effectively the duties required for the job including verbal ability to complete written assignments and physical ability to complete assignments given accommodations as required by law.


Preferred: Two year Associate Degree in Early Childhood Education, two years' experience in providing written and verbal communication. Oral and written proficiency and good organization skills, excellent customer service skills, computer literate, valid driver's license and reliable transportation, able to periodically attend out of office meetings and training sessions.
