Data Specialist

This position specializes in the timely and accurate management and maintenance of admissions-related data and documents inside the university student information system. This role supports university enrollment by synchronously updating student records as inquiries and applicant’s progress through the admissions lifecycle. Other functions of this position are to assist the Associate Director and other Data Specialists with special projects and data audits.

 

Required Education

  • Bachelor’s Degree required

Required Experience

  • Two years of experience working with databases or CRM’s and Microsoft Office Products.
  • Experience with PeopleSoft and Slate systems preferred.

Primary Duties/Essential Functions

  • Create and maintain accurate records of student inquiries and applications across APU’s CRM and student information systems.
  • Responsible for maintaining accurate system integration through the removal of duplicate records, data audits and report reviews.
  • Support the successful enrollment of students by timely and accurate review and management of their application documents across data systems.
  • Support faculty review of completed application files by ensuring file integrity for academic department admissions committee reviews.
  • Manages and monitors official university printed communications regarding admissions statuses to students.
  • Receives, verifies, and validates official transcripts per academic catalog guidelines for GPA and accreditation requirements.
  • Partners with the university cashier to successfully track and record application fee payments.
  • Support enrollment growth by providing customer service and support to seven distributed Program Representative teams across APU’s main and Regional Campuses.
  • Oversee the archiving of applicant records in the university document repository system.
  • Conduct quality control assessments through the use of comparative queries across systems.
  • Assist with the training and oversight of student employees.
  • Complete daily tasks and special projects for the Associate Director as assigned.
  • Support, affirm, and sustain the beliefs, values, and mission of the university in all facets of one’s role and through the university's daily living expectations.

  • Required to work one Saturday commencement event (Winter or Spring) a calendar year.
  • Responsible for daily electronic timekeeping as it applies to the scope of this position.
  • Regular, punctual attendance as required by the supervisor based on department needs.

 

Skills

  • Typing a minimum of fifty words per minute with accuracy.
  • Organizational skills with the ability to produce high quantities without sacrificing quality.
  • Ability to communicate effectively with faculty, staff, and students.
  • Able to exercise independent judgment and discretion. Ability to work under pressure with distractions, and able to keep confidential information.

  • Ability to communicate effectively in written and oral form.

Physical Demands 

  • Intermittent sitting and standing. 
  • Requires keyboard and 10-key work.
  • Communication with others requires face-to-face, telephone, and email contact.
  • Ability to lift, pull, grasp, bend, and reach.
  • Ability to lift up to 20 lbs.

 

Visual Demands

  • Computer monitor and reading.

 

Environment

  • Pleasant office, comfortable temperatures. 
  • Multiple conversations and transactions are occurring simultaneously.

 

Technologies

  • Proficient in Google Apps., Microsoft Office, Word, and Excel.

 

Compensation

  • Grade 7: $19.49 to $22.41 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package
