About the Role:

The Data Specialist plays a critical district-wide role in managing, maintaining, and optimizing student information systems that support the daily operations of Easton Public Schools. This position serves as the lead support and systems specialist for the district’s Student Information System and other key data platforms, ensuring the accuracy, integrity, security, and timely reporting of information required for school operations, state and federal compliance, and strategic decision-making.
Duties and Responsibilities:

Support, Training & Knowledge
Manage the student information system (SIS), specifically Follett Aspen, including all state reporting
Provides technical and computer support to EPS staff, substitutes, and parents
Acts as liaison with Aspen in resolving general operational problems and technical issues
Works with Aspen developers to create/edit forms and reports as needed
Determines need for custom reports and creates/edits reports using Access, iReport, or Java/XML as needed
Using Aspen Tools, creates/runs Jobs, Reports, Exports, Imports, and Procedures as needed
Modifies/creates templates for data entry
Utilizes various resources to enhance Aspen performance such as Aspen Inside Out, Pando Information Station and Portable Reports
Develops instructional materials for end-users as needed
Conducts classroom style training for staff on new applications as needed
Update and maintain Data Dictionary, Reference Tables, Security roles as needed
Participates in Aspen State Reporting Pilots
Manages Family Portals
Controls Grade Input Window timeframes for schools for grade data entry

Ongoing – District Student Information
Collaborate with the district and school leadership to support the collection and extraction of student data, including all special education and demographic information as well as state and local assessments
Schedules new elementary students into their class/sections
Works with teachers to maintain English Language Learners and Title 1 data
Upload student and staff photos to Aspen, Mosaic and SNAP
OLR & OLR-R. Worked with the Director of Instructional Technology and Aspen to launch a new online student registration module. Includes creating a training manual, training Registrars and monitoring Registrars and activity and troubleshooting as needed.

Ongoing - District Staff Information
Creates and manages Aspen user accounts
Manages data security roles and privileges
EPIMS coding for state reporting
Updates Staff Licensure as needed
Creates access to long term subs/co-teacher’s classes and gradebook as needed
Assists staff to resolve GPA, Transcript and Gradebook/Report Card and Special Education issues as needed
Manages Pages within Aspen
Coordinates export of teacher evaluation data from TeachPoint into Aspen for state reporting

Annual Responsibilities
Prepares data for the End-of-Year and performs rollover in preparation of new school year
Oversees and completes annual set up and maintenance of Aspen Calendars
Manages Conduct Incident/Actions data with school administration for state reporting
Builds and maintains Transcript Definitions for grade input
Manages/edits the Rubric Library, Rubric Rating Scales and OA Learning Expectations details for grade input/report cards
Manages elementary report card criteria changes
Prepares yearly course catalog
Prepares the Master Elementary Schedule by building course catalogs, creating elementary courses and sections, assigning teachers and enrolling students [Grades PK-5]
Prepares District Enrollment data for School Committee
Update Food Assistance (Free/Reduced Price School Lunch Meals) documents annually
Works with Lucini Bus by providing student data for bus assignments and completes imports and notifying parents
Imports student MCAS data
MA (DESE) State and Federal Reporting
Coordinate, verify and submit data reports to the Department of Elementary and Secondary Education (DESE) and other state/federal agencies
SIMS (Student Information Management System)3 times/year
EPIMS (Education Personnel Information Management System) 2 times/year
SCS (Student Course Schedule) 2 times/year
SSDR (School Safety Discipline Report) annually
SAC (School Attending Children Report) annually
End of Year - Transportation Data (for Director of Finance) annually
EEOC (Equal Employment Opportunity Commission) as required
CRDC (Civil Rights Data Collection) as needed
Other mandatory DESE reports (ie. P-EBT Covid-Related absences) as required
Frontline [Absence Management and Frontline Central]
Implements and manages software
Resolves technical issues for schools and substitutes
Trains and provides documentation for staff and substitutes, with an emphasis on school secretaries
Communicates user login/password and other pertinent information as needed
Creates and manages form templates/packets in conjunction with HR/Payroll for staff onboarding
Preschool Accounts Receivables
Built and manages Access database for accounts receivables
Monitors/tracks collections via Unipay and works with school administrators to resolve issues
Establishes payment plans as needed
Communicates with parents/guardians on tuition issues



General Responsibilities (examples using above software)
Developed and maintain an Intranet reference website for school secretaries and support personnel
Assists with management and updates administration and school websites as needed
Assists Director of Finance with ad hoc data pulls as needed
Provides documents and technical support on TeachPoint, Medicaid, School Messenger
Create systems, including written procedures and tutorials for the collection of student and staff information.
Assists Special Services department with projects as needed. Includes providing support to PK Coordinator and SPED Coordinators as needed.
Assists district staff on special projects by developing databases, reports, graphs, or presentations
Generates routine and ad hoc reports
Manages free/reduced data and photos

Professional Development
Attends Aspen Institute Conferences annually, MA Department of Education Conferences, and Aspen South Shore User Group meetings
Attends METTA conferences




Qualifications:
Knowledge/Skills Required
Proficient with Aspen modules on an administrative level
Proficient in MS Word, Excel, Access, and PowerPoint, Google, Frontline
Strong customer service-oriented
Maintains appropriate confidentiality
Adept at queries and report writing
Ability to present complex information in an understandable and concise manner
Understanding of website maintenance
Experience as a trainer with different level users
Ability to read, analyze, and interpret information
Ability to effectively present information and respond to questions, inquiries, and/or complaints

Ability to learn and utilize office equipment, computers, and software, especially as systems are upgraded

Education, Experience and/or Certification
High school diploma or equivalent
One year certificate from college, technical school or equivalent from accredited university with specialized coursework in computer information systems or related field preferred
Minimum of five years experience in school information
Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities to perform the essential functions of the position
Such alternatives to the above qualifications as deemed appropriate or acceptable


Salary: $60,000-75,000.
