About the Role

We are seeking a detail-oriented Lease Abstraction & Data Specialist to join our Lease Administration team. This role is responsible for reviewing commercial retail lease agreements and related documents, abstracting key financial and legal terms, and ensuring accurate data entry into our lease administration system (Tango). The ideal candidate has strong lease knowledge, exceptional attention to detail, and the ability to support cross-functional teams by maintaining a reliable source of truth for our 3,000+ property portfolio.Β  This position will report to the Director of the Lease Administration team.

Key Responsibilities

  • Review and abstract critical lease data (rent, CAM/operating expenses, options, expiries, insurance, termination, co-tenancy, repair/maintenance obligations, etc.).
  • Enter and validate data within Tango (and integrated systems such as SAP).
  • Ensure accuracy, completeness, and consistency of all lease records.
  • Maintain an audit trail and support compliance requirements.
  • Coordinate with Lease Administration, Finance, Legal, and Real Estate teams to resolve ambiguities or missing information.
  • Develop and maintain abstraction templates, checklists, and quality controls.
  • Support reporting and portfolio analytics by ensuring high-quality data integrity.
  • Assist in special projects such as portfolio audits, process improvements, and system upgrades.

Qualifications

  • 3+ years of experience in lease administration, abstraction, or commercial real estate (tenant or landlord side).
  • Strong knowledge of commercial lease structures (retail, office,industrial).
  • High attention to detail and proven accuracy in data review/entry.
  • Proficiency with lease administration software (Tango preferred; MRI, Yardi, CoStar, Lucernex, or similar an asset).
  • Solid Excel skills (pivot tables, lookups for validation and analysis).
  • Strong organizational and process management abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage multiple deadlines.

Preferred

  • Experience with portfolio sizes of 500+ leases.
  • Familiarity with CAM reconciliations and lease audits.
  • Bilingual (English/French) is an asset.
  • Exposure to automation/AI-based abstraction tools is an asset.
