Job Description:

Under general direction, coordinates activities and functions for a variety of real estate related projects to ensure project goals and objectives are accomplished in accordance with priorities, time limitations, funding limitations or other specifications. Performs work of complex real estate matters requiring the expert knowledge and professional application of real estate auditing principles, practices and techniques in accordance with industry standards, current laws and University policy. Exercises broad discretion and creativity to work on assignments of varied, diverse, and difficult nature. Develops, analyzes, coordinates, and maintains research data and information systems for management evaluation and decision making. Provides technical assistance to departments as needed. Reports directly to Real Estate Operations Director.

Essential Duties:

  • Utilizes GIS software to create, monitor and manage property ownership and encumbrance maps which identify property conveyances, restrictions, easements, leases, IGAs and zoning/planning restrictions.

  • Performs verification of legal descriptions and mapping.

  • Maintains existing library of real property, easements, ground leases, license agreements, restrictions and other land use commitments.

  • Utilizes GIS or CAD software to generate reports, exhibits, maps and graphics required by ongoing operations.

  • Monitors all real estate related data to ensure it is up to date, accurate and reportable.

  • Coordinates preparation of administrative and real estate related reports and audits, including, but not limited to, leasing reports and quarterly and annual real estate ownership audits for all University owned real estate.

  • Creates queries, maps and reports from several data sources.

  • Assists in the drafting and review of various real estate documents, including, but not limited to, easements, licenses and building access agreements.

  • Coordinates with internal and external stakeholders, including municipalities and utility companies, to negotiate, revise and execute real estate related documents.

  • Knowledge of principles and practices pertaining to real estate.

  • Knowledge of principles, standards and practices of project management.

  • Knowledge of terms and conditions of real estate contracts.

  • Knowledge of state and local regulations pertaining to easements, right-of-way, property ownership and leasing.

  • Skill in analyzing and abstracting real estate documents.

  • Skill in reading, understanding and correcting legal descriptions.

  • Skill in utilizing GIS software to produce maps, graphics and structured datasets related to real property management.

  • Skill in planning, analyzing and coordinating activities and establishing priorities.

  • Skill in effective communication, both written and verbal.

  • Ability to develop and maintain cooperative working relationships both within and across organizational areas.

  • Ability to handle multiple and diverse projects.

  • Ability to meet deadlines and expectations, while maintaining attention to detail.

  • Ability to work in a fast-paced environment under minimal supervision.

  • Ability to solve and provide conflict resolution.

  • Ability to effectively utilize reporting formats and criteria to present succinct and meaningful information to a variety of audiences with varying levels of interest/understanding.

  • Ability to work effectively and collaboratively with other leadership team members, faculty and staff across the university.

  • Ability to prepare, audit, understand and interpret complex real estate and related budgetary management reports.

  • Desired Bachelor’s degree in Geographic Information Systems, Business Administration, Real Estate, Information Technology.

  • Three years experience in Real Estate.

Working Environment:

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.

  • Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds.

  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.

  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.
