General Description:
The CUA Intake Data Specialist plays a critical role in supporting Concilioβs mission by collecting, tracking, and analyzing data related to CUA Intake services. This position ensures that accurate, timely, and comprehensive data informs decision-making to enhance the quality and stability of Foster and Kinship care placements. Working closely with the CUA Intake Supervisor and Senior Leadership, the Intake Data Specialist ensures compliance with internal standards, city and state guidelines, and federal reporting requirements.
Duties and Responsibilities:
1. CUA Intake Data Monitoring & Compliance
β’ Partner with the CUA Intake Supervisor to ensure accurate monitoring and tracking of placement cases.
β’ Monitor and track CUA3 case referral demographics for the 15th Police District.
β’ Maintain and track records for all Interstate Compact Agreements (ICPC) and ICPC payments.
β’ Monitor data related to Older Youth Board extensions under the PA Fostering Connections to Success and Increasing Adoptions Act of 2008.
β’ Collect and track data required for AFCARS (Adoption and Foster Care Analysis and Reporting System) to ensure federal compliance.
β’ Track and monitor additional program areas as determined by CUA Senior Leadership.
2. Case & Service Tracking
β’ Track HCSIS reports for accuracy and timeliness.
β’ Monitor and track compliance of Placement Well-being Checklists.
β’ Request and follow up on change form requests to ensure timely processing.
β’ Process change forms, update services in PFDS, and create placement letters for Foster and Kinship placements.
β’ Track and follow up with Case Management teams regarding missing permanency goals and SSNs in PFDS.
β’ Track and cross-reference service level changes with current Service Agreements to ensure accuracy.
β’ Maintain reunification tracker for all active cases.
β’ Submit and track CALM referrals for applicable youth.
β’ Track emergency placements and placement disruptions.
β’ Maintain monthly service number reports for leadership review.
3. Data Reporting & Analysis
Compile and analyze intake and placement data to identify trends, challenges, and opportunities for improvement.
β’ Prepare and submit regular reports to CUA Intake Supervisor and Senior Leadership.
β’ Support program audits and reviews by providing complete, accurate, and timely data sets.
4. Internal Collaboration
β’ Collaborate with CUA Intake Supervisor, Case Management teams, and program leadership to ensure data accuracy and alignment with service needs.
β’ Support cross-functional projects by providing relevant intake and placement data.
β’ Serve as a resource to staff on data tracking procedures, system updates, and compliance requirements.
β’ Perform all other duties as assigned.
Qualifications:
Education & Experience
β’ Bachelorβs degree in Social Work, Human Services, Data Analytics, Business Administration, or related field preferred; a combination of experience and education can be considered. High School Diploma Required.
β’ 2β3 years of experience in data tracking, case management support, or program compliance (preferably within child welfare or human services).
β’ Experience with state or federal reporting systems (e.g., PFDS, AFCARS, HCSIS) strongly preferred.

β’ Excellent organizational skills with the ability to manage multiple priorities.
β’ Proficient in Microsoft Office Suite (Excel, Word, Outlook); database management experience required.
β’ Strong communication skills and ability to collaborate with cross-functional teams.
β’ Knowledge of child welfare systems, foster care, and placement processes a plus.
β’ Bilingual (Spanish/English) preferred.
Work Environment & Physical Demands:
β’ Standard office setting with regular use of computers and technology.
β’ Some local travel required to support program needs.
β’ Occasional evening or weekend hours may be required based on program demands.Β
