ย SUMMARY OF POSITION:

Springs Rescue Mission considers every position one of ministry and a vital and valued part of our team. The Donor Data Specialist reports to and supports the Advancement Department by developing and managing internal processes, software, data and business intelligence to maximize Springs Rescue Missionโ€™s stewardship of donor relationships and resources. This position works to create systems that measure metrics tied to fundraising success and helps teams determine strategic audiences for messaging and relationship-building. In addition, this role supports Advancement by overseeing administrative support for CRM software to help teams stay focused on external relationships.ย

DUTIES & RESPONSIBILITIES:


Donor Strategy

  • Manage and support the day-to-day operation of donor and marketing systems, including:
  • EveryAction (donor management and CRM)
  • AvidAI (donor insights and predictive analytics)
  • Website builder and content tools
  • Email and marketing automation platforms
  • Specific systems may change, based on operational needs and decisions, but this role would manage and support any new/changed/added systems in same way
  • Configure systems, workflows, and integrations to support donor acquisition, retention, and engagement initiatives.
  • Ensure campaigns are properly set up, scheduled, and tracked across channels
  • Serve as the operational execution partner to the Director of Marketing & Communications for donor-focused marketing initiatives, providing strategic recommendations based on data insights.

Database & CRM Administration

  • Serves as primary administrator for SRMโ€™s donor CRM (EveryAction/Bonterra) or system utilized by organization.
  • Develops, documents, and enforces data standards, business rules, and workflows to ensure accuracy and consistency.
  • Manages user access, security permissions, and donor data compliance.
  • Conducts routine data audits, maintenance, imports/exports, and system updates.
  • Maintains code tables, campaigns, appeals, source codes, and revenue streams to support accurate reporting.
  • Coordinates with CRM vendors and contractors to resolve issues and optimize system use.

Analytics, Insights & Reporting

  • Analyzes donor behavior, giving trends, retention, and engagement using Google Analytics, AvidAI and other tools to inform strategy.
  • Builds and maintains dashboards and reports (weekly, monthly, quarterly, annual).
  • Supports donor segmentation, RFM analysis, and predictive modeling.
  • Provides strategic donor lists and actionable recommendations for fundraising, marketing, and stewardship.
  • Ensure proper tracking of campaigns, donation flows, and key engagement actions
  • Evaluates campaign, channel, and event ROI and communicates insights clearly to stakeholders.
  • Translate data and insights into recommendations that improve targeting, messaging and timing.
  • Ensure EveryAction and AvidAI systems are staying in sync and providing accurate data.

Interdepartmental Support

  • Partners with Development, Marketing, and Finance to align data, reporting, and strategy.
  • Serves as liaison with Finance to review gift entry accuracy and reconcile revenue monthly.
  • Trains and supports Advancement staff in effective CRM usage and data best practices.
  • Researches and recommends tools, automations, and process improvements to increase efficiency.
  • Performs other duties as assigned in support of SRMโ€™s mission.
  • Attends all required meetings, including some meetings held outside of normal office hours
  • Reviews SRM emails regularlyย 
  • Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing.
Requirements

EDUCATION/EXPERIENCE:

  • Bachelorโ€™s degree in pertinent field.
  • 3-5 years of database/CRM management experience for similar entity.
  • Previous experience organizing and scheduling workflows.
  • Previous experience working for a donor-funded, non-profit organization.
  • Statistical Business Analyst (SAS) certification preferred.
  • Expert in database administration, Excel and CRMs like EveryAction (Bonterra).

  • Understanding of and ability to produce common business metrics
  • Able to learn new systems or lead organization in embracing new systems
  • Skilled and proficient in EveryAction, Avid.ai, or comparable database/CRMย 
  • Computer literate and highly proficient in Microsoft Suite and Power BI
  • Attention to detail and good organizational skills
  • Good communication skills โ€“ verbally in person and on the phone
  • Familiar with PCI compliance guidelines
  • Able to read, write, and perform mathematical computationsย 
  • Able to plan, organize, and prioritize tasks
  • Ability to maintain strict confidentiality
  • Ability to perform effective and productive research
  • Reliable and trustworthy โ€“ able to maintain confidentiality, productivity and meet deadlines

Salary & benefits include the following: $62K- $72K annually DOE.

* Full benefits package to include: medical benefits with SRM paying 85% of the medical premium, voluntary Dental, Vision, Allstate Accident Plan, SRM-paid Short-Term and Long-Term Disability, Life Insurance, and AD&D. Also offered are 8 paid holidays, 21 days of accruable PTO, paid โ€œSoul Care Retreatโ€ days (up to 4 depending upon availability), and a 403b retirement plan with SRM-match after one (1) year, 100% vested beginning DOH; (Benefits are subject to change based on reevaluation or benefit plan changes annually.)

*Benefits begin at the 1st of the following month after completing a full 30 days of employment (I.E. start date 4 January 2025, benefits initiate 1 March 2025)
