Description

The Membership & Data Specialist is responsible for creating a warm and welcoming environment. They greet and direct members and visitors, provide Club information and flyers, answer phones and provide administrative support to Club staff. The Membership & Data Specialist also owns all aspects of data/information entry, tracking membership statistics; coordinating membership process, and responding to member requests. They also assist with membership benefits programs, membership satisfaction, and supports information related to membership, member-related services, and potential new members.


Key Job Responsibilities:

  • Manages club member data daily and ensures that member data is accurate and all applications are fully completed, fees are collected, and membership cards are issued.
  • Assists club members daily to ensure they accurately scan their membership cards prior to entering program areas; makes & reissues membership cards in a timely fashion; assists club members who forget membership cards with alternate sign-in methods.
  • Monitors attendance, pick-ups, and drop-offs of children according to safety and security protocols and parental or guardian authorizations.
  • Monitors visitor access and sign-in as required.
  • Provides attendance and demographic reports of membership data on a regular and consistent basis.
  • Monitors the front desk equipment, supplies, and various program needs; brings inventory and supply issues to the attention of the Club Director.
  • Conducts community outreach activities, encourages parent/guardian engagement, and promotes and recruits youth for programs.
  • Schedules tours and orientations for new members, parents, volunteers, and visitors.
  • May assist or provide program services and cooperative learning activities for youth that are both recreational and educational.
  • Obtains & enters individual program areas roster accurately on a daily basis.
  • Responds to visitors, parents, volunteers, and club member inquiries and/or redirects questions to appropriate staff.
  • Answers incoming telephone calls, determines the purpose of callers, and forwards calls to appropriate personnel or department.
  • Answers questions about the organization and provides callers with address, directions, and other information.
  • Collects membership, summer, field trip, program, and special event fees. Maintains logs and safeguards all financial information.
  • Tracks member payment plans. Will follow up until payments are received in full or alert supervisor when unable to collect.
  • Provides parents and visitors with flyers and other written information concerning Club programs and special events.
  • Performs administrative duties as needed, such as filing, photocopying, and collating.
  • Keeps the front desk and Club entry neat and organized; updates display boards/monitors as needed with relevant information.
  • Ensures the safety of members, and demonstrates positive values, and ethical behavior during service and program delivery.
  • Displays a high level of enthusiasm, commitment, and professionalism towards Club members, parents, and activities.
  • Works with peers to share best practices and ensure high-quality service across the organization.
  • Other duties and training as assigned.

Supervisory Responsibility:

This position does not have any direct reports but may utilize Club Youth Development Professionals to accomplish tasks or projects.


Expected Hours of Work

  • September – early June: Monday through Friday 2:00 pm to 7:00 pm
  • Late June – August: Monday through Friday eight hours between 8:00 am to 6:00 pm as designated by supervisor
  • Occasional morning and/or evening and weekend work will be required as job duties demand
Requirements
  • High School diploma or GED
  • Combined experience and/or formal training equivalent to a minimum of one year where: Office, database and customer service experience was gained; Technology such as MS Office and Outlook was utilized regularly; Experience working with youth was gained
  • Strong communication and interpersonal skills
  • Must be detail oriented and well organized
  • Proven ability to prioritize and multi-task
  • Bi-lingual in English and Spanish required
  • Demonstrated ability to be flexible, patient and tolerant
  • Willingness to learn
Salary Description
$17-$20 an hour
