Philanthropy Data Specialist

The Development Data Specialist is responsible for managing and optimizing the donor database, providing accurate reporting and insights, and supporting data-driven fundraising strategies. The role is ideal for someone with strong technical and analytical skills who enjoys solving problems, discovering trends, and using data to drive impactful practices. Prior nonprofit experience is not required – candidates with relevant experience in data analysis, CRM management, or business intelligence in other sectors are encouraged to apply. 

Key Responsibilities 

Data Management & Optimization

• Maintain and ensure accuracy, completeness, and integrity of donor and prospect records in the CRM system (Raiser’s Edge NXT)
• Identify and implement improvements in data structure, hygiene, and entry protocols 
• Document and refine data management processes and procedures 

Gift Processing & Acknowledgment 

• Accurately process incoming donations and ensure timely gift acknowledgment 
• Collaborate with the finance team for reconciliation and monthly reporting 
• Continuously improve acknowledgment processes to enhance donor stewardship and personalization 

Data Analysis & Reporting 

• Build and maintain dashboards and reports to monitor fundraising performance, donor behavior/trends, and campaign success
• Provide actionable insights and forecasts using historical data and trend analysis 
• Develop key performance indicators (KPIs) in partnership with development team members 

Segmentation & Prospect Research

• Segment donor and prospect lists for targeted communication and campaigns 
• Conduct research to support major gift and sponsorship strategies 
• Assist in the creation of donor profiles and support personalized outreach 

System Integration & Collaboration 

• Work closely with marketing team to integrate campaign and digital engagement across platforms 
• Support data flow across fundraising systems, online tools, and event platforms to enable full-funnel reporting 
• Serve as a technical resource and trainer for staff on database tools and data best practices

Event & Campaign Support

• Provide data support for fundraising events, including guest tracking, payment processing, and post-event analysis 
• Collaborate on campaign strategies informed by data and donor engagement metrics 

Qualifications

• 2+ years of experience in data analysis, CRM/database management, fundraising analytics, or related fields
• Proficiency in Microsoft Excel and donor CRM platforms 
• Strong analytical, organizational, and problem-solving skills 
• Detail-oriented with a high standard for accuracy and data integrity 
• Effective communicator with an ability to translate data into insights for non-technical team members 
• Self-starter with a passion for mission-driven work; nonprofit experience a plus, but not required
