GENERAL JOB DESCRIPTION    

The Retention and Data Specialist provides participant follow-up, outreach and retention support while also managing data and system updates to ensure accurate tracking and reporting.  This role supports program success by monitoring progress, maintaining high-quality data in participant management systems and providing event and data coordination assistance. 

QUALIFICATIONS  

Required:

  • High School Diploma or equivalency required, two years of college in human service and/or business preferred.

Other:

  • Two to three years’ experience linking economically disadvantaged adults with community resources required.
  • Interpersonal skills sufficient to communicate with participants, public and staff.  
  • Strong attention to detail and ability to manage data accurately.
  • Composition skills sufficient to prepare communications and required reports.  Ability to type 50wpm accurately.  One year experience with computer word processing, spreadsheet and database software required.  Proficiency using Microsoft Office as well as reasoning and language skills. 

DUTIES AND RESPONSIBILITIES  

  • Enter, maintain and monitor participant performance in OSMIS and other workforce data systems, and ensure the integrity of inputs. 
  • Conduct timely follow-up and outreach with program participants to support engagement, retention, and successful outcomes.
  • Fulfill data requests and prepare reports for management that capture specific program or customer performance. 
  • Provide administrative, data tracking and data entry support for special projects. 
  • Follow-up with customers, career coaches and partner organizations on status of barrier resolution/referral resolution.
  • Advocate for and link customers to community services and assist in assessing available support services.
  • Make routine contact and keep information updated with community human service and partner organizations to verify services and eligibility requirements.  
  • Track participant progress and document services, activities, and outcomes in participant management systems and databases.
  • Collaborate with program staff to ensure data reflects real-time participant activity and supports compliance with grant and program requirements.
  • All other duties as assigned

WORKING CONDITIONS

Environmental conditions:

  • Moderate noise (i.e., business office with computers, phone, and printers, light traffic).
  • Ability to work in a confined area.
  • Ability to sit at a computer terminal for an extended period. 

Physical requirements:

  • While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard, reach, stoop, kneel to install computer equipment.
  • Specific vision abilities required by this job include close vision requirements due to computer work.
  • Light to moderate lifting in required.
